About Us

Superior Payroll Service was born in response to frustration with other payroll provider's inability to understand trucking. Since I was able to design a program to do our payroll in a way that is best for our industry, the next logical step is to share it with the world.

Superior Payroll Service

Frequently Asked Questions

Your name implies that you only do trucking payroll.  Do you service other industries?

Yes!  The trucking industry has payroll challenges that other industries do not so we specialize in trucking.  But, we are happy to tackle any client's needs.

What are the benefits to outsourcing my payroll?

You'll save time.  Not just the preparation time but the time staying up to date on the latest payroll regulations.

You'll save money.  Every year one small business in three pays an IRS penalty.  With our no penalty guarantee, you can never have to worry about it.

You'll save focus.  Without the stress of IRS payroll tax issues and the stress of hoping you did your payroll correctly, you can devote more time to running your business.

Who remits the payroll taxes deposits for the client?

That decision is made by the client.  We can collect the money and remit it to the proper authorities or the client can choose to do it itself.

Who pays the penalty if Superior Payroll Service pays the taxes late?

That won't happen but if it did, then we would pay 100% of the penalties and interest.

Do you charge extra for Direct Deposit?

No.  Direct Deposit for your employees is included in our base fee.

Can I get custom reports made?

Yes.  Since we develop our own software, we have the capability to design any report for you if you provide the data.   We also have a number

of reports already made beyond the typical payroll package.

Do we have to pay you to build a custom report?

Only if what you ask is a report that nobody else could use.  Also if you ask us not to share it with other clients.  In either of those cases, the

fee would be a one-time expense. Once we build the report, you can have it for free anytime.

Do we have to pay fees for quarterly and annual tax filings such as 941's and W-2's?

No.  These are all included in our base fee.

I have an employee that needs his last four paycheck stubs to get a mortgage? How can I get them?

The easiest way is for them to sign up for a user name to view them online.  From there they can view and print as many checkstubs of theirs

as they want.

How do we get our information to you each pay period?

However works best for you. We have clients that call us.  We have clients that we call.  We have clients that email us, fax us, and some that

we set up a special webpage for them to send their data to us.

How do my employees receive their pay stubs?

Generally we have them delivered to you and you distribute them.

How do I process a newly hired employee?

The easiest way is to complete a form that we provide and get it to us on or before your payroll processing date.

How do I change a deduction for an employee?

The easiest way is to complete a form that we provide and get it to us on or before your payroll processing date.

Who remits court ordered payments to be deducted from an employee?

Fax or email us the court order and we'll do the rest.  We'll cut the check and mail it for you if that is your preference.

How hard is it to convert to Superior Payroll Service?

It's almost as easy as saying yes!  Because we developed our own software, we can import the necessary data in most any order.  As long as

you can export it form your prior arrangement, we can finish it from there.  If you can't get the data in a file, we'll do all the heavy lifting to

make sure that all your employees are properly entered into our software.

How long does converting to Superior Payroll Service take?

It depends on the number of employees and where we are on the calendar but usually we'll make a go of it in about 24 hours or less.

I have an employee that claims he reached his maximum FICA wage at his previous employer and he has asked me to not withhold FICA

from his check.  Can I do this?

Not legally.  He'll have to file for the money on his 1040 at the end of the year.

I have an employee that complains that he owes the IRS money on his 1040 each year.  He claims it is our fault for not taking out enough.

What can we do?

There are many reasons why he might owe but they don't matter, especially to him.  The employee should complete a new IRS form W-4. On

his new W-4 he should ask for additional money to be withheld on line 6.

How do our employees get a user name to view their pay stubs on line?

The easiest way is for them to complete a form that we will provide to you.  Upon completion of the form, we will email them a user name

and password.

Our workers comp audit was a mess.  How can you help?

We can help in a number of ways. First, at a minimum, we'll provide all the payroll reports for your audit in one package.  They'll include all

the 941's SUTA forms and a report explaining any variances such as Section 125 deductions.  In addition, we can provide worker's compensation

reports throught the year at any interval you'd like them.  These reports can show you if you have wrongly estimated your payroll for the

insurance so you can work with your agent to correct it mid-year.

Also, for our medium and large-sized clients, we'll attend your work comp audit personally.  Our experience is that having your payroll preparer

present for the audit can reassure the auditor that everything is done correctly.

We can also collect your premium each pay period and report and remit it to your insurance agency.  In the industry it is called Pay-As-You-Go or

 PAYGO.

Since you've gone on at length about workers comp do you sell it?

No.  We believe that things are best left to experts.  We're always happy to refer you to an agency that will serve you well.  It's the same reason

why you shouldn’t have your payroll prepared by a company that doesn’t make payroll its main focus. We can't all be experts at everything.
